Chief Operating Officer

At Toolhouse, we are fundamentally changing how leading life sciences companies use technology to build meaningful connections with patients and physicians. What we do isn’t possible without our super-smart team of passionate thinkers and dedicated doers. We are striving to make Toolhouse the best place to work for our deserving team. As we grow, we are looking for individuals that are not only strong in their own areas of expertise but also who care deeply about Toolhouse, our people, and our vision.

We are looking for just the right person who is both a quick study and a go-getter, who thrives in a fast-paced environment and has an exceptional eye to detail. You are an excellent communicator who doesn’t back away from uncomfortable situations. You will dig in deep to learn new things on your own, and your work is thorough, timely and professional.  You feel a strong sense of pride in being able to support those around you, and others would describe you as reliable, self-motivated (and motivational), and solution-focused.

Here’s what you’ll be doing in your first year:

  • In your first few months, you’ll learn the ins and outs of our current processes and systems, and work with leadership, staff managers and other team members to identify your areas of focus and priority. You will also become familiar with state and local laws for the geographical area of Toolhouse operation. Finally, you’ll immediately start to take on some day-to-day administrative tasks, such as payroll support, new-hire onboarding administration, benefits enrollment and administration, basic state and federal compliance needs, etc.
  • You will take ownership of the benefits enrollment and maintenance processes, and support the benefits selection effort. This will include working closely with our primary benefits partners. You will establish timelines related to annual benefits selection, identify and fulfill reporting requirements, facilitate and support employee enrollment needs, and all other related needs.
  • You will take ownership of the existing hiring process, from job posting and candidate application to vetting and offer acceptance. This may include direct proactive recruiting outreach (if feasible), as well as working with specialized recruiting partners.  You will partner with leadership to understand staffing needs, challenges and strategy. You'll then make recommendations that may optimize our hiring process or strategy based on your assessment.
  • In collaboration with the COO and other team team members, you will recommend and begin to implement a framework to support staff managers and employees in discussing, defining and measuring progress towards their career development goals. This may include the creation of templates, SOPs, frequency and implementation guidelines, etc.
  • You’ll be the go-to resource for employees to voice employment-related concerns, inquiries etc. You will answer questions based on defined policies or elevate inquiries or concerns as appropriate to leadership or staff managers.
  • Finally, you will be an evangelist for your discipline within the Toolhouse team. You will espouse best practices and excellent quality. You will identify ways to improve your deliverables and associated processes and proactively make changes that will benefit you, the team, and the quality of our work.

Have you done this before?

A successful candidate will have their SHRM certification, and have a minimum of 2 years of professional experience with increasing responsibilities over that time.

Do you have experience supporting the HR needs of a 50+ person company with employees in multiple states?  Do you have experience working autonomously on initiatives that span the "first-year" responsibilities described above? Have you been successful in advancing the HR practice of a company through the creation or implementation of new programs, tools and resources, while also juggling day-to-day service needs? Do you have an interest in developing the People Operations practice within a successful and growing creative agency?
